Full-time, 40 hours/wk.

As a member of Optical Department Staff for Medical Center Eye Clinic, you will be responsible for answering optical department phones, greeting patients, verifying patient and insurance information for optical orders, collecting and explaining payment policies for order processing, posting OTC payments and nightly balancing.

You must have a HS diploma or equivalent to qualify for this position. At least 1-2 years of optician experience is preferred. Experience with EMR is preferable, bilingual in Spanish is a plus. Experience with ABOC is a plus.

  • Excellent interpersonal, communication, telephone, customer service, organizing, and time management skills are essential.
  • Ability to read, write, speak and understand English.
  • Ability to read and write eyeglass and contact lens prescriptions.
  • Ability to actively participate in team oriented processes.
  • Basic computer skills including familiarity with electronic medical records.
  • Ability to follow through complex orders with vendors and labs.
  • Supports and contributes to effective safety and risk management efforts
  • Greet, register, instruct and provide general assistance to patients.
  • Confirm patient demographic and prescription information in Electronic Health Record (EHR).
  • Review options for patient optical orders.
  • Take PD and seg height measurements to ensure accuracy of order.
  • Confirm optical order is complete and financial responsibilities are settled before patient leaves.
  • Collect initial payment due at time of order.
  • Process contact lens and or optical orders through dispensary software.
  • Post charges and allocate payments in the practice management system.
  • Submit vision claims using insurance portals.
  • Complete a final inspection of contact lens and or eyeglass orders as they arrive from labs.
  • Contact patient to inform their optical order is ready for pick up and schedule appointment.
  • Complete custom fitting of eyeglasses to patient at time of dispense.
  • Meet with vendors to update frame boards.
  • Receive frame inventory, sanitize and tag for board.
  • Coordinate with clinic providers relating to patient needs.
  • Complete daily balancing.
  • Customer Service: Calls are answered timely, professionally and respectfully. Applies good listening skills as well as problem solving skills. Accounts are notated thoroughly.
  • Attend and participate in all staff meetings.
  • Continual talking to people in person or on the telephone. Occasional communication via e-mail.
  • Continual hearing in person and on the telephone.
  • Vision for close work.
  • Noise level consistent with that of a busy medical office setting in a “high traffic” area within the office.

You will be expected to understand and adhere to environmental needs of the office, including:

  • Safety requirements (i.e. clothing, equipment required, activities performed) consistent with that of a medical office setting.
  • Exposures (i.e. fumes, chemicals, vibrations, humidity, cold, heat, dust noise, blood & body fluids) consistent with that of a medical office setting.
  • Operation of equipment, tools, vehicles consistent with that of a medical office setting.
  • Required hygiene standards (food handling, clean, contaminated and sterile equipment) consistent with that of a medical office setting. Medical Center Eye Clinic strives to keep a fragrance-free environment to benefit those with allergies.

You will report daily to the Optical Manager and work closely with the billing staff, providers, patients, and outside vendors providing assistance and information as requested. From time to time, Medical Center Eye Clinic staff members may be asked to participate in a Quality Improvement project in addition to their typical job functions.
